Unveiling the critical knots of MMU. - Article from Com S.S.Mohanasundaram, Udumalpet, TN

After receiving and opening all the bags meant for your office, invoicing to Postman beats or invoicing to BOs are being commenced. After all are done, it's the immense duty of Delivery PA or concerned official to ensure that no articles are left from invoicing or handled properly.


This can be ensured via a report available under DPMS Main Screen Page i.e., Undelivered Articles report under Reports section. Upon accessing this menu, just click search button and it will display all the undelivered articles pending with an office's Facility ID (including undelivered BO articles mapped under that account office too). Click on export to Microsoft Excel and open in Excel for easy handling of data. 

The column in Excel named "Articles Status" plays the key role in defining the status of the articles at that instance. Three status are there. 
1. R - Received 
2. O - On Hold 
3. T - Taken out for delivery. 

At the end of the day, no articles should have the article status as R since it means that those articles are neither invoiced to postman nor to BO(s). Similarly it's neither redirected nor returned.  It's a serious parameter in the perspective of MMU. So by using this report in this way, all the articles can be handled properly and it can be ensured that no articles are left unhandled. 

Once the articles are invoiced either to Postman or to BO , the status of those articles will be changed to T from R which means that these are taken out for delivery. After the Postman returns and Beat EOD, the delivered articles will move out from this undelivered report and the status of the articles which are in deposit ( Door locked , Intimation served etc..,) will change to O from T which means that now those are On Hold. Similarly in terms of BO, if the BO bags are opened in DARPAN and if the invoiced articles ( in SAP)  are received and invoiced ( in DARPAN) , remarks should be made so that DARPAN day end is possible. Once the articles are marked as delivered in DARPAN, those articles will move out from articles undelivered report. If the articles are marked as Undelivered ( Door Locked, Intimation served, Enquiry etc.,.) the status of those articles will change to O from T. So from this it can be easily identifiable that if the status of the articles invoiced to BO remains in the status T for more than a day, there are possibilities that the bag might not be opened in BOs (Provided no sync or handshaking issue between CSI and DARPAN Servers). The reason for T Minus One date is because of the handshaking period between CSI SAP Server and DARPAN Server. If the articles invoiced to BOs remain in T status for more than T minus two dates, the BO bags opened details may be cross confirmed with concerned BOs. 

By monitoring this single report as said in the above perspective, the MMU performance will be improved more which in turn less administrative calls regarding article data updation and MMU.
